About the role
An exciting opportunity has arisen for a Personal Assistant (PA)/Team Administrator to provide high calibre, confidential support to the Manager and team of Intelligence, Data and Insights (IDI) team reporting to MIQ, in the Immigration New Zealand Branch.
Working in a dynamic and changing environment, you will be responsible for:
- Diary management and managing communications (email and phone)
- Preparation of documentation
- Liaising with facilities and IT staff
- Organising external and internal appointments
- Record keeping.
You will be working with the wider team, supporting your colleagues and providing general administrative tasks as required, this may include domestic travel arrangements. You will be client-focused and expected to build an understanding of the IDI's team priorities. You will maintain effective internal and external relationships, deal with high level, urgent and confidential issues and work effectively with other support staff as needed.
You'll always be two steps ahead of the Manager anticipating what is required and when, whilst ensuring that tasks are completed to a high level.
Skills and experience:
- Proven experience in being a Personal Assistant and Team Administrator or similar roles
- Diary management and competent user of Outlook, Microsoft office and other business systems (finance, HR)
- Strong written and interpersonal communication skills
- Experience in arranging travel (advantageous)
- Proactive working style and strong initiative
