The Ministry of Business, Innovation & Employment (MBIE) ICT branch provides valued services to our business customers.  Under the leadership of a new CIO we have recently undergone an operating model and structure change in order to lift our service delivery, increase the value we get for IT spend, and ensure we are ready to navigate an ever-changing digital world.  As a result of these changes we have a number of new roles to fill.  

 

About the role

Reporting to the Manager, Commercial Performance, this is a support role responsible for administering, organising and coordinating activities across the Commercial Performance unit.

The role will work closely with the managers and principals to provide individuals and the team support enabling the smooth and efficient function of activities and work tasks across the unit.

 

Commercial and Contracts Administrator will:

  • Undertake administrative tasks for managers and teams following MBIE procedures and rules, making arrangements for new staff or contractors, ordering supplies, organising events and arranging travel
  • Support their designated manager(s) by making arrangements on their behalf liaising with Contacts and building relationships
  • Assist with financial budget management and reporting
  • Provide specialist skills in the use of office technology,  coordinating on and off boarding and health and safety requests
  • Work to improve administrative systems and processes
  • Help managers and staff use MBIE self service facilities
  • Build relationship across MBIE in support of all duties involved in the position

 

Skills and experience

  • Advanced Microsoft Office skills including Microsoft Project, Word, PowerPoint and Excel
  • Previous experience in financial administration business processes  
  • Proven experience of adding value through i the provision of support
  • A proven track record of experience and achievement in a customer service and/or support role
  • A knowledge of secretarial and administrative practices
  • Ability to quickly establish and build strong working relationships
  • Ability to communicate effectively with people from a wide range of levels within an organisation
  • Experience in a position requiring attention to detail, excellent organisational skills, and the ability to work autonomously using initiative and good judgement

 

Qualifications

  • A relevant tertiary qualification or equivalent knowledge, skills, and experience
